Stenberg College, a private post-secondary institution based in Surrey, British Columbia, has selected InPlace Software to manage thousands of annual practicum and clinical placements across 17 programs spanning five study areas.

The rollout includes InPlace’s logbook functionality across every onboarded program, giving faculty and students a single system for tracking hands-on hours, practicum check ins, and progress notes instead of the mix of paper and email that came before it.

Stenberg has built its reputation on excellence in the delivery of hands-on, practicum-based education: nearly every program includes a supervised practicum component, and Stenberg develops its curriculum directly with employer input to keep graduates job-ready.

Before InPlace, Stenberg’s placement coordinators managed preplacement documentation largely on paper and PDF forms, tracking site-specific requirements that vary across provincial health authorities and programs with no centralized system. Faculty completed the evaluations on paper and scanned them after the fact. Coordinators checked student requirements manually, one email at a time, while also tracking detailed student placement constraints: prior work history, current employment, and specific exclusions. All by hand. Weekly practicum check-ins and progress notes were similarly challenged, with no central log of meetings, attendance, or assignments.

The pressure to fix this wasn’t only internal. Clinical and practicum host sites themselves had been requesting that Stenberg adopt a simpler, more consistent way to work with the college, which signaled that the old process was creating friction on both sides of the placement relationship.

Stenberg also carries real reporting and regulatory obligations for its programs. These obligations, combined with the breadth of practicum-based programs it runs, made centralized placement and compliance tracking a priority rather than a nice-to-have.

“Our students’ practice education experiences are crucial to preparing them to meet the needs of employers immediately upon graduation. InPlace gives us the visibility, structure, and tools to best support students with the right placements, track their progress, and do everything possible to ensure their success.”

— Jeremy Sabell, Senior Vice President, Strategic Development, Stenberg College

This practicum/clinical placement-heavy model, spread across a wide program portfolio, is exactly the kind of operational complexity InPlace is built to support.

In the demo process, several InPlace capabilities stood out to the Stenberg team:

  • Automatic surfacing of late-enrolling students closes the gap that rolling admissions and multiple intakes can create in manual tracking.
  • Placement request function for requesting student placements from community partners gives coordinators a structured, trackable way to request and confirm placements with partners for health and education programs.
  • Timesheet functionality provides centralized, verified hours as documented proof that required practicum hours were completed.
  • InSight survey and assessment tool is flexible enough to support competency evaluations, student and site assessments, and post-graduation surveys, all with a clean, centralized audit trail.

The partnership adds Stenberg to a growing list of Canadian post-secondary institutions moving away from fragmented, manual placement tracking toward centralized platforms. This shift reflects the accreditation and compliance pressures facing regulated programs across Canadian institutions as much as it does operational efficiency.
